Assistant to the Vice President, Enrollment Management and Student Success

Who We Are
With three campuses along Colorado’s Front Range, FRCC is the state’s largest community college. We enroll close to 28,000 students annually from our diverse service area, which offers a variety of cultural and recreational activities.

Each year approximately 5,000 FRCC students transfer to four-year universities and FRCC offers more than 36 career training programs that prepare students for immediate employment and rewarding careers. Last year, more than 5,000 high school students took concurrent enrollment classes with us, earning college credit without having to pay college tuition. Who You Are

As the Assistant to the Vice President of Enrollment Management and Student Success, you will provide administrative support and coordination for the Vice President of the Front Range Community College – Enrollment Management and Student Success (EMSS) and the EMSS division. During periods of the Vice President’s absence, you will act as the representative of the VP to internal and external persons.

You will have the opportunity to work remotely occasionally, but this position does require a strong on-campus presence and will need to travel to all three FRCC campuses.

Please note: This is an on-campus position with an opportunity for hybrid remote work. You need to be a Colorado resident on your first day of employment.

SALARY: $53,000-$55,650/annually

SELECTION PROCESS: Position will remain open until filled with a priority deadline of January 7, 2024. This posting may be used to fill multiple or similar positions.

Primary Duties:
Provide Executive Administrative Support:

  • Independently provide high-level administrative support to the Vice President, including managing a complex calendar of appointments, reconciling expense reports, composing and preparing correspondence that may be confidential, arranging travel, procuring supplies and services and ensuring stakeholder awareness in support of these activities.
  • Conserve the Vice President’s time and assist in their daily handling of high-volume email and initiating and drafting communications and analyzing information, requiring knowledge of their views, philosophy, and some understanding of leadership’s priorities.
  • Plan, coordinate, and ensure the Vice President’s schedule is followed and respected; ensure they are briefed and prepared for upcoming commitments.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressure.
  • Identify, design, and implement new processes, procedures, and technology solutions to improve the Vice President’s efficiency, productivity, and communication.
  • Partner with senior college leaders and other administrative professionals to provide support services and prepare material for key meetings.
  • Manage a variety of projects for the Vice President as needed.
  • Work cooperatively with other employees of all levels throughout the organization.
  • Welcome visitors and answer questions and meeting requests directed to the Vice President.

Event and Meeting Coordination:

  • Create, organize, and manage all internal and external events for the Vice President.
  • Organize event planning for Enrollment Management and Student Success division, including meeting notifications and invitations.
  • Make catering and set-up arrangements; schedule meetings and assist with set up.

Documents/Budget Management:

  • Create/monitor expenditures and documents of the Vice President’s Office
  • Serve as the cost center administrator for the Vice President’s budget accounts
  • Purchase supplies, create purchase orders, purchase requisitions, expense vouchers, travel requisitions, and official function forms.
  • Create budget reports, reconcile accounts; hold a P-Card and is responsible for following fiscal rules and procedures.
  • Create and update division newsletter; track approval flow for items needing VP signature.

Office Liaison:

  • Serve as primary point of contact for the Vice President’s Office.
  • Possess knowledge of the division, campus, community, and college structure.
  • Create postings on the intranet.
  • Disseminate appropriate electronic communications.
  • Respond to questions and inquiries from administrators, faculty, staff, and students.
  • Act as a liaison for on-campus and off-campus groups.

Schedule/Travel Coordination:

  • Makes appointments for the Vice President and prioritize their activities and events.
  • Coordinate travel arrangements for the Vice President
  • Track reimbursements and travel paperwork.

Required Education/Training & Work Experience:

  • Associate Degree and two years of experience in an administrative support role.
  • Demonstrated experience in handling sensitive information with the ability to manage shifting priorities.
  • Demonstrated proactive approaches to problem-solving with a customer service focused approach.
  • Proficient in Microsoft Office Suite, to include Word, Excel, Outlook, and SharePoint.
  • Demonstrated understanding of equity, diversity and inclusion.

Preferred Education/Training & Work Experience:

  • Ability to communicate effectively in Spanish.
